EPICOR Eclipse
If your business runs on Epicor Eclipse, Suppli connects directly to your ERP. Your AR data stays current in Suppli without exports, and payments your customers make in Suppli post back to Eclipse automatically, so no one has to re-key anything.
How data flows in (Eclipse to Suppli)
Suppli pulls from Eclipse on a set schedule, typically every 30 to 60 minutes depending on how your account is configured.
In Eclipse | Appears in Suppli as |
|---|---|
Sales orders in Invoice status | Invoices and credits |
Cash receipts | Payments and deposits |
Customers | Customers and jobs/ship-tos |
Contacts | Customer contacts and portal users |
Branches | Locations |
A few things worth knowing about what comes across:
Only invoiced sales orders sync. Open orders, quotes, and will-call orders that have not been invoiced yet will not appear in Suppli. Canceled orders are excluded unless that has been specifically enabled for your account.
Invoices and credits both come from sales orders. Suppli separates them automatically. There is nothing you need to do differently in Eclipse.
Finance charges appear as invoices. If you bill finance charges as sales orders in Eclipse, they show in Suppli as invoices rather than as a separate finance charge record.
Recent edits get picked up. Each sync also re-reads the last 14 days of invoices and the last 7 days of credits, so a backdated entry or an edit to an older record still comes across even if Eclipse did not flag it as changed.
Branch scoping applies. If your connection is limited to specific branches, records outside those branches are skipped by design.
Payments and credits entered directly in Eclipse flow into Suppli too. Your customers see an accurate balance in the portal whether the payment came through Suppli or was keyed in Eclipse.
How payments flow out (Suppli to Eclipse)
When a customer pays in Suppli, two things happen in Eclipse:
Suppli creates a Cash Receipt for the payment total.
Suppli applies that receipt to the specific invoices the customer paid, including any early payment discount, credit, or deposit they used, and clears the balance due on the receipt.
In the normal case there is nothing for your team to do in Eclipse. The payment arrives already applied.
If step 2 cannot be completed, the Cash Receipt still lands in Eclipse as unapplied cash. Your team applies it manually in Eclipse, and Suppli shows a sync error so support can clear it on our side.
Depending on how your account is configured, certain payments can also be set aside for your team to apply rather than applied automatically. Either way, Suppli flags the payment, so anything that needs your attention shows up rather than going quiet.
What is supported
Supported | |
|---|---|
Invoice payments | Yes |
Early payment discounts | Yes |
Deposits | Yes. Deposits created in Suppli push to Eclipse as cash receipts |
Deposit refunds | Yes. The refund reduces the balance on the original deposit |
Refunds on invoice payments | Issued in Suppli, but not pushed to Eclipse. Record the reversal in Eclipse yourself |
Voids | Same day only, and only before the payment has synced to Eclipse |
On voids: the Void option is available on a card payment the same day it was taken, up until the payment syncs to Eclipse. Once the Cash Receipt exists in Eclipse, the option goes away and the reversal is handled in Eclipse directly.
On refunds: issuing a refund in Suppli returns money to your customer, but it does not reopen the invoice balance in Suppli or in Eclipse. If the invoice needs to go back to open, reopen it in Eclipse.
Before you upgrade Eclipse
Let Suppli know before any planned Eclipse upgrade so we can check the integration against your new version before you cut over. A short heads up avoids a surprise gap in syncing on the day of the upgrade.
Invoice PDFs
Invoice PDFs in Suppli are built by Suppli from your Eclipse sales order data, including line items, terms, remit-to details, products, and any notes configured for your account. Supporting documents from Eclipse Document Imaging, such as signed delivery tickets, are included when available.
These PDFs will not look identical to your printed Eclipse invoice form. That is expected.
Troubleshooting
An invoice is not showing in Suppli.
Confirm the sales order has been invoiced in Eclipse. Open orders and quotes do not sync.
If it has been invoiced and it is still missing after two sync cycles, check the invoice's branch. If your connection is scoped to specific branches, or the branch was added recently, the Suppli user may not have access to it yet.
If it is still missing, contact support at support@gosuppli.com with the invoice number and customer name.
A payment made in Suppli is not in Eclipse.
Confirm the payment shows as Successful in Suppli.
Look for a Cash Receipt on that customer's account in Eclipse. It may be there as unapplied cash.
Check the sync status area in the portal for a related error.
If you cannot find the receipt, contact support with the payment date, amount, and customer.
You see an error about a payment that could not be applied.
Find the Cash Receipt on the customer's account in Eclipse and apply it to the correct invoices manually.
Let support know once it is applied so we can clear the error on our side.
A customer's balance does not match Eclipse. Contact support. It helps to have your A/R Aging Report and Invoice Register for that customer ready, since that is what we compare against.
